Job Profile Libraries

JobNav organizes profiles into three libraries:

Library What it is
HRIS-Linked Profiles active in your HRIS and visible to connected systems
Draft Profiles you are building in JobNav that are not yet in your HRIS
Template Reusable blueprints for creating profiles at scale

Each library serves a different stage of the profile lifecycle. Most teams work in Draft, reference HRIS-Linked profiles as the source of truth, and use Templates to keep structure consistent.

NOTE: Which libraries you see depends on your JobNav Permission. See the JobNav Permissions article for role details.

HRIS-Linked profiles

These profiles come from your HRIS. They reflect what is currently active in your connected HRIS and are visible to other connected systems.

What you can do:

  • Browse, search, filter, and sort profiles
  • Click a row to open a preview sidebar
  • Open a profile in the editor (read-only)
  • Create Draft from an HRIS-linked profile to edit content in JobNav
  • Compare Selected profiles (Operator and Admin only): select rows and use Compare Selected to open the architecture compare view

What you cannot do:

  • Edit HRIS-linked content directly in JobNav
  • Delete profiles from this library
  • Export from the library list (export is available inside the editor)

Search and filters

  • Use the search bar (Search job profiles…) and click Apply or press Enter. An active search appears as a chip you can remove.
  • Available filters include Status, Job Level, Job Family, HRIS FLSA Status, Primary Language, and project-specific custom fields.

Status in the list

  • Active profiles show a blank Status cell (active is the default)
  • Non-active profiles (e.g. Inactive) display in the Status column

In the preview sidebar, status appears as Active or Inactive.

Draft profiles

Draft profiles live in JobNav only. They are not yet published to your HRIS or visible to connected systems.

What you can do:

  • Browse, search, filter, and sort drafts
  • Open a preview sidebar, then Open in Editor to edit
  • Use the row menu (⋮) to Edit or Delete (Editor, Operator, and Admin only)
  • Filter by Location, Users, Job Code, Job Level, Department, Visibility, and HRIS Link (whether the draft is linked to an HRIS profile)

What you cannot do:

  • Export from the library list
  • Publish directly to your HRIS from this screen

Job Profile Templates

Templates are reusable blueprints. A published template can pre-fill structure and locked fields when you create or update a draft.

What you can do:

  • Browse and open templates in the editor
  • Sort by column headers (Title, Job Level, Last Revised)

What only JobNav Admins can do:

  • Create Template from the library
  • Publish a template from the editor (makes it available for new profiles and apply-template flows)

NOTE: Most roles can view templates. Only JobNav Admin can create and publish them.

Templates do not have the same search bar or filters as HRIS-Linked and Draft libraries. Use column sorting to find templates.

  1. Template → Draft: Apply a published template when creating or editing a draft.
  2. HRIS-Linked → Draft: Open an HRIS-linked profile and choose Create Draft, or link a draft to a matching HRIS profile.
  3. Draft → HRIS-Linked: When a draft is finalized and synced through your organization's process, it becomes (or updates) an HRIS-linked profile. This happens outside the Draft library - there is no Publish to HRIS button in the library itself.

Default sort: HRIS-Linked and Draft default to Newest First. Templates default to Oldest First.

If no profiles match your view, you will see: "There is no Job Profile data available for your selection." This heading varies by library (e.g. No Data Available in Draft Job Profiles).

Frequently asked questions

Why can I only see HRIS-Linked?

You likely have the Viewer JobNav role, which grants access to HRIS-Linked profiles only.

Can I edit an HRIS-linked profile in JobNav?

No. HRIS-linked profiles are read-only. Use Create Draft to work with editable content.

What's the difference between Draft and HRIS-Linked?

Draft profiles exist only in JobNav. HRIS-linked profiles are active in your HRIS and visible to connected systems.

Who can delete a draft?

Editor, Operator, and Admin.

Who can create or publish templates?

JobNav Admin only.

Can I export from the library?

No, but you can export individual profiles as Microsoft Word, Markdown or HTML formatted documents.

What does Compare Selected do?

On the HRIS-Linked library, Operator and Admin can select profiles and compare them side by side in Job Architecture.
