Customizing Employee Acknowledgement Content & SLAs
On the Settings Page, Admins are able to customize the language and timing for Employee Acknowledgments to align with their organizations needs.

Accessing and Updating Acknowledgement Settings
Access the Acknowledgement Settings by:
- selecting the Settings (cog) icon at the top right of the page
- click on Settings under the Organization section
- click on the Acknowledgements tab

Submitting Changes
Once you've made changes to the content of the Acknowledgements Settings, be sure to click the "Update" button of the given section to submit the changes.

Reverting to Default Language
When you have submitted customized language/SLAs, you will see an option to "Revert to Default." Clicking that link will clear your customized language and revert the field to the default language. You will still need to click the "Update..." button to submit the changes.


Organization Settings

In the Acknowledgements Organization Settings, you can set your:
Organization Name
- Default: "Your organization"
- customize how your organization is referred to in Acknowledgement communications, including in:
- the Acknowledgement Request E-mail

- the Acknowledgement Confirmation E-mail

HR Contact Email
- Default: "your HR department"
- customize the e-mail address the employees are directed to contact with questions, including in the:
- the Acknowledgement Request E-mail

- Error messages on the signature site

- Acknowledgement instructions on the signature site

- Acknowledgement signature confirmation on the signature site

Acknowledgement Timeline Settings

In the Acknowledgements Timeline Settings, you can set your:
Acknowledgement Cycle SLA
- Default: 365 days
- If you require employees to sign an acknowledgement on a cyclical basis (ex. yearly, quarterly), you can set that cadence here.
- Employees whose latest signed acknowledgement is older than the number of days set in the SLA (Service Level Agreement) will show up in the Out of Date section of the Employee Acknowledgement page, where you can send them all a new acknowledgement request to ensure they are up to date on your acknowledgement requirements.
Acknowledgement Reminder Threshold
- Default: 7 days
- If you require your employees to sign an acknowledgement within a certain number of days, you can set that cadence here.
- Employees whose open acknowledgement had been pending for longer than the number of days set in the threshold will show up in the Pending Signature section of the Employee Acknowledgement page with a red exclamation point, where you can send them all a reminder e-mail to sign their acknowledgement.
- Employees with a Pending Signature and no exclamation point have acknowledgement requests that are not older than the set threshold.
Acknowledgement Language Settings

In the Acknowledgements Language Settings, you can set your:
Acknowledgement Email Language
- Default: "{Organization Name} requires a current job description that has been acknowledged by the employee to be kept on file, and uses Payscale to streamline job description review and acknowledgement. Our records indicate that you have a new or modified job description that requires acknowledgement."
- Customize the language in the acknowledgment request email to align with your organization's branding, legal requirements or acknowledgement workflow.
The default content for the Acknowledgement Email Language utilizes the Organization Name field. Whether the Organization Name remains the default language ("Your organization") or has been customized (like "Acme Corp" in the example below), the Acknowledgement Email Language will use the data from the Organization Name field at the beginning of the e-mail message, unless the Acknowledgement Email Language default language has been replaced with customized content.

Acknowledgement Agreement Language

Default: "By signing below, you acknowledge that you have received, reviewed, and understand this job description, including the general responsibilities, requirements, and expectations of the role. You understand that this job description is intended as a summary of the position and may be revised by the company from time to time in its discretion.
This acknowledgement does not create a contract of employment, does not guarantee employment for any specific duration, and does not alter the terms and conditions of your employment."
- Customize the instructions included on the acknowledgement signature page to align with your organization's branding, legal requirements or acknowledgement workflow.

Acknowledgement PDF Language
- Default: "I acknowledge that I have received and reviewed my job description and understand all of the job duties and responsibilities. I understand that this acknowledgment does not constitute a contract of employment and does not alter the terms and conditions of my employment."
- Customize the language that accompanies the employee's signature on the signed acknowledgement PDF document to align with your organization's branding, legal requirements or acknowledgement workflow.
