Managing Permissions for Demographic Insights
Since the Demographic Survey Report houses sensitive candidate data, users require a separate permissions setting in order to view the survey insights from the report. This article helps you determine who should have access and how to grant it.
Permissioning for the Demographic Survey Report
- Distribution Insights tab: All users
- Survey Insights tab: Only users with "Full Report Access" permissions to the Demographic Survey Report
Determine who should have Access
All users can access the Distribution Insights tab of the Demographic Survey Report, since that tab focuses on process and doesn't contain sensitive candidate data.
The Survey Insights tab will only be viewable to those who have specific "Full Access" permissions to the Demographic Survey Report.
Why is this a separate permission setting from the Datapeople Admin status?
- Candidate-reported demographic data is considered sensitive information. Not all Datapeople Admins require access to demographic insights as part of their role. To help protect this data and ensure it’s only accessible to those who truly need it, we created a separate permission setting.
- During your Datapeople setup, we’ll work with you to identify the right individuals to receive this permission. After that, any users with this specific permission will be able to grant or update access for others.
How should we decide who to give access to this report?
It's entirely up to you how widely you share access to this report. It may be appropriate to grant access to a select group or to all relevant team members, depending on your internal policies.
This report is typically most valuable to:
- Talent Acquisition Operations teams
- Diversity, Equity, and Inclusion (DEI) stakeholders
Granting Full Report Access
Anyone with Full Report Access to the Demographic Survey Report (Admin or Non-Admin) is able to manage permissions for other users.
From My Teams
A user can be granted full report access in the Demographic Report Permissions tab of the My Team page.
- Click/hover over the Settings icon.
- Select My Team under the User section.
- Select the "Demographic Report Permissions" tab on the My Team page.
- Click "Grant Full Report Access"
- Select user(s) from the dropdown menu.
- Click "Grant Full Report Access." They will receive an e-mail notification of their updated permission.
Sharing Report
If you just want to share a static version of the report instead of granting someone full access, you can download a PNG and send it to them!
Removing Full Report Access
A user's full report access can be removed in the Demographic Report Permissions tab of the My Team page.
- Click/hover over the Settings icon.
- Select My Team under the User section.
- Select the "Demographic Report Permissions" tab on the My Team page.
- Select "Remove Full Access" from the row of the user you want to remove. They will not receive an e-mail notification of this change.
